How do I book equipment?

How many days in advance do I need to book the equipment?

The sooner you contact us and let us know what you need the better. Two weeks prior to your event is recommended, but to avoid disappointment we suggest you contact us as soon as you know the event is likely to happen. Having said that, we are always willing to help and last minute hires may be possible.

What is the minimum length of time I can hire something?

All hires have a one-day minimum charge. Pick up is generally after 12pm and returns must be made by 11am the following day.
In most instances pick ups and returns can be adjusted to suit needs.

Is there a weekly rental price?

Yes, weekly hires are calculated as a four-day hire, i.e. 4 x the daily rate.

When and how do I pay?

Payments are to be made in advance, prior to the hire’s commencement, or on the day of pick up. We accept cash, cheque and credit card/EFTPOS payments.

Please bring a photo ID along with payment to our office (on the 3rd floor of Union House at the University of Melbourne) on the day and allow half an hour to fill out paper work and pick up equipment.

Where do I pick up my hire?

AV@Melbourne’s office is on the 3rd floor of Union House at the University of Melbourne in Parkville. Being on the doorstep of Melbourne’s CBD, it is easily accessible from Swanston Street, either by car or tram.

Is there parking for when I pick up the equipment?

The University of Melbourne will issue hirers with a 20min free pass to pick up hire equipment. AV@Melbourne has no control over parking within the University of Melbourne grounds.

If your hire involves a large pick-up, please alert us to your arrival and you may park temporarily in the Union House loading bay past the North Court car park.

What equipment is available?

We have a large range of high-quality AV equipment for hire including sound systems (anything from small presentation PAs and mid-size vocal/band PAs to state of the art concert systems), lighting systems, mixing consoles, radio microphones, data projectors and video cameras.

We also have staging, marquees/structures, furnishings, BBQ sets and just about anything else you can think of!

Is the equipment insured?

No. It is up to you, the hirer, to insure your event and any equipment hired.

What happens if equipment gets broken?

As the hirer, you are responsible for all equipment in your care. If the equipment is broken or lost you will be charged the full cost of repair or replacement.

How bright are the projectors?

NEC VT670GT Projector
Ansi Lumens: approx 2100

Ansi Lumens: approx 3000

Please remember any light on the screen will wash out the picture, light in the room or projection onto a wall may also have this effect. A screen is the preferred choice to project onto.

Does the projector come with a screen?

No. If you require a screen you will need to book one along with the projector. We have 6ft, 7ft and 8ft screens available for hire. Larger format screens can also be made available.

How heavy are the speakers?

All powered speakers weigh approximately 20kg, whilst the wireless, EH&S friendly RCF MOVE100 battery powered speakers weigh approximately 10kg.

How loud are the speakers?

This depends on how big the venue is, the number of people in the room and other noise in the vicinity of your event. Generally speaking however, we can supply a system to cater for the volume required.

Do I have to wash the BBQ?

We ask that you empty the drip tray, wipe down the hot plate and clean excessive fat overflow from the splatter mat and BBQ. This is easily done whilst the equipment is warm.
